As a key member of our team, the Office Administrator will collaborate with and support various departments, ensuring seamless operations and contributing to the overall efficiency of the office. You will act as the first point of contact for anyone calling or visiting head office in Edmonton, AB. This individual will ensure that every touch point and interaction is positive and will direct inquiries in a timely, courteous, and professional manner.

Responsibilities

 

  • Promptly answer and manage the multi-line telephone system and direct calls appropriately.
  • Receive, date stamp, and distribute mail/courier packages.
  • Provide administrative support, including but not limited to filing, data entry, and scanning.
  • Manage multiple email accounts and maintain timely correspondence.
  • Draft and send internal and external communications, such as emails, memos, and newsletters.
  • Upload and review driver abstracts.
  • Order office supplies and coordinate facility maintenance requests.
  • Prepare common office space(s) and boardroom(s) for company meetings.
  • Maintain the professionalism of the main common areas.
  • Provide comprehensive administrative support to all departments.
  • Organize company events and assist with planning components.
  • Schedule flights and accommodations for the executive.
  • Administer all aspects of inbound and outbound packages being sent to and from the field.
  • Manage corporate swag programs by keeping an inventory and supporting distribution.
  • Any other duties as assigned to support the Edmonton Team and Corporate Services.

Qualifications

 

  • Intermediate to advanced level of Microsoft Office 365 suite of applications.
  • Demonstrate a proactive mindset in handling tasks, resolving challenges, and contributing to the overall efficiency of the office.
  • A can-do attitude; willing to learn new things and support various departments as needed.
  • Must be able to communicate with others through effective oral and written skills.
  • Exhibit a service-centric and solutions-based approach with visitors, customers, candidates, and co-workers.
  • Exercise good judgment when disclosing company or personal information.
  • Excellent organizational abilities.
  • Ability to multi-task and thrive in high pressure situations.
  • High School Diploma plus certificate from a recognized Office Administration course or equivalent experience.
  • 3-5 years of office administration experience or executive assistant experience.
  • Previous experience in a construction environment would be considered an asset.
